Placing an Order

What documents do I need to register?

As part of our verification process, we'll require certain documentation from you before sending equipment.

We'll need a scanned copy of one of the following, dated within the last 3 months:

Proof of billing:
- Bank statement
- Utility bill
- Government-issued tax document

If you are a sole trader, hiring for personal use, or have a company card registered to a residential address, we will also require a colour copy of one of the following:

Photo ID:
- Valid passport, Canadian or international
- Canadian driving license

How long will it take to verify my account?

It can take a few days to verify each account. If you need something urgently, please give us a call and we'll do our best to fast-track you.

How old do I need to be to rent equipment?

You must be 18 years or older to rent equipment. If you are under the age limit, you can use equipment rented by an adult, however the adult will be entirely responsible for the rental.

Do I need to be a Canadian resident to rent?

Canadian residents will enjoy an easier rental process. Tourists from overseas will go through more stringent verification, and be required to submit a large security deposit - possibly to the entire value of the equipment.

Overseas companies, such as film production companies, are welcomed. We'll just need to verify your company first.

Can I take equipment overseas?

Canadian residents are permitted to take equipment overseas, as long as you have informed us the dates of your trip and where you are going.

Overseas visitors to Canada are not permitted to take equipment out of Canada without written permission from Canada Camera Rentals. If equipment is found to leave the country without permission, it will be treated as stolen.

How is your pricing calculated?

Our rental rates are calculated based on a 3-day week. That means that we charge for 3 in every 7 days.

For example, if an item costs $50 per day to hire, a 3 day rental period would cost $150. But a 7 day rental period would also cost $150.

Our minimum rental duration is 3 days.

How does delivery and collection work?

We will deliver your order to arrive the day before your rental is due to begin. For example, if you book a camera for the 20th to the 23rd of the month, you can expect it to arrive on the 19th.

Similarly, we will arrange collection for the day after your rental ends. In the case of the example, that would be on the 24th.

We will automatically arrange collection from the delivery address. If you require an alternative address, you must inform us before your rental begins. If this changes during the rental period, we'll need at least 48 hours notice.

Collection & Delivery

Can I collect in person?

You can choose during checkout to collect in person from Canmore, Alberta. This is ideal if you're staying locally, and we will arrange a handover with you after you've placed your order.

What courier do you use?

Typically, we will use Purolator or UPS for deliveries and collections. Depending on your location, this could vary.

When will couriers make delivery or collections?

Delivery or collection can occur anytime during the day. This is why we organise it for the day before or after your rental starts or ends.

Can I drop off at a courier collection point?

You can drop your package off at an official collection point for the courier your return is booked with. However, you must let us know so that we can cancel the collection from your home.

 

You are considered responsible for the equipment until the tracking record shows that the item has been dropped off. It is imperative that you check the item was successfully scanned in and is reflected by the courier's website before leaving the drop-off point.

Returning Equipment

How do I prepare equipment for return?

Use the same box that the equipment arrived in to return it. Ensure that you pack things the same way they arrived, and retain all of the void fill within the box. The equipment should not roll around or move within the box.

Stick the supplied return label to the outside of the box, and seal it with parcel tape.

What happens if I miss the collection?

If you miss the collection, you must call us immediately to arrange for another collection. You may be liable for additional charges if you do not hand over the equipment to the courier on collection day.

What is considered normal wear & tear?

We know that using equipment naturally brings some wear and tear. We've put together a guide to help you determine what we view as normal wear and tear, and what extent of damage may attract repair or replacement fees.

Insurance

Do I need to have insurance to rent equipment?

We recommend that all customers have their own insurance, but it is only required for certain values of equipment.

For equipment above $20,000 in value, we will require you to provide proof of insurance with our company added as Additional Insured on the policy. We will need to see proof of this, and will verify it with the insurance company.

Do you offer a damage waiver?

You may be offered the option of a damage waiver instead of a security deposit. A damage waiver is made up of two parts: a premium (non-refundable) and a deposit (refundable).

The damage waiver will limit the amount of your liability in the case of damage. This will cover accidental damage, but does not cover theft, loss, or negligence.

Do I have to pay a deposit?

You are either required to take out the damage waiver (if offered) or provide a security deposit. A security deposit will be refunded once the equipment is returned undamaged and fully operational.

The value of the deposit will vary and depend on what equipment is being rented, and whether or not you are a regular customer.

Other

I left something of mine in the camera bag - can I get it back?

If you have returned something of your own back to us, we can return it to you at your cost. If it's something small, we'll send it to you free of charge. If it's valuable or large, we'll arrange for a courier at your cost.

We do not accept liability if the item is lost or damaged in transit on its return to you.
